What is an ISO 9001 Product Traceability Form?

An ISO 9001 product traceability form is a document that helps manufacturing companies track raw materials, components, and finished goods throughout the entire production. It’s used to record unique product identifiers that serve as a connector of a product to its origin, usage, location, and quality status. This allows manufacturers to quickly identify and resolve issues or nonconformities, ensuring that quality requirements are consistently met. By doing so, businesses can isolate non-conforming products faster, maintain customer trust, and stay compliant with regulatory standards.

Benefits

An ISO 9001 product traceability form ensures clear identification and tracking of products from raw materials through production to final delivery. It provides a structured way to keep track of production activities, strengthening an organization’s quality control and compliance maintenance. It also helps with the following:

  • Streamlines product tracking at every stage of production so defects can be caught and fixed quickly

  • Keeps clear and updated records that show compliance with industry standards, legal requirements, and customer expectations

  • Helps identify the exact batch or items affected during recalls or non-conformities

  • Promotes transparency and accountability within the organization

This form is in accordance with Clause 8.5.2: Identification and traceability, which focuses on ensuring products and materials can be tracked throughout the production process. This clause ensures organizations can trace a product’s origin if issues arise, enabling a streamlined recall or investigation, helping prevent unintended use, and complying with ISO 9001 standards.

What to Include in an ISO 9001 Product Traceability Form

This form should include key information about the materials and products necessary to track and document a product’s path, ideally from initial receipt until its final delivery. This process ensures that best management practices are always followed and that wherever a product came from, whatever processes it went through, and whoever handled it at each stage is clear, known, and can easily be tracked down if needed. An ideal product traceability form should include these elements and sections:

  • Product Information: Establish the product’s origin, such as product name, code, and batch number. Also, include the date of production and quantity produced for easier tracking.

  • Traceability Options: Include options for how the form is intended to be used, whether it’s material traceability or process traceability.

  • Final Inspection: Indicate inspector information and inspection results, such as Non-Conformance Reports (NCRs) issued, and if there are any corrective action required.

  • Approvals: Ensure the form is reviewed and approved by the right personnel.
